Where is GroomSome customer data stored?

Short answer

In Microsoft Azure's West Europe region, in the Netherlands. The database, its backups, photos and every GroomSome server are there. A few providers for email, text reminders, billing, push notifications and paper-card import receive only what they need; some work outside the EU.

If you run a grooming business in Europe, your clients' names, phone numbers, addresses and their pets' health notes are personal data, and you are responsible for where it goes. This page says exactly where GroomSome keeps it, which outside providers touch it, and what each one receives.

What is stored where

What Where it is stored
Client and pet records, appointments, notes, treatments and payment records Microsoft Azure, West Europe region (the Netherlands)
User accounts, passwords (hashed), two-factor devices and passkeys Microsoft Azure, West Europe region (the Netherlands)
Photos: pet profiles, treatments, logos Azure Storage, West Europe, copied across three availability zones inside that region
The GroomSome web app, mobile app servers, sign-in service and online booking pages Azure West Europe

The database runs in a single Azure region and is not replicated to any other region.

Backups

Backups are continuous: changes are backed up as they happen, and the database can be restored to any point in the last 30 days. Those backups are stored in the same West Europe region as the database. They are not copied to a second region.

Sign-in

Sign-in runs on GroomSome's own identity service, in the same Azure region. Your password and account details are not held by a third-party sign-in provider. You can protect your account with two-step sign-in: approve each sign-in with a push notification in the GroomSome app, or sign in with a passkey.

AI features

The optional AI features, such as reading a photographed paper client card, run on Microsoft Azure AI Foundry deployments restricted to Microsoft's EU Data Zone (the EU Data Boundary). Microsoft states that this boundary can include EFTA countries such as Norway and Switzerland.

Analytics and error reports

Product analytics and error reports go to PostHog's EU Cloud in Frankfurt, Germany.

The providers that receive some of your data

A small number of specialist services do one job each for GroomSome. Each receives only what that job needs.

Provider What it receives Where it processes data
Resend (email) Reminder, confirmation and receipt emails: the recipient's name, email address and the message Emails are sent from Ireland (EU). Resend stores email metadata and logs in the United States.
Bird (text messages) SMS reminders: the client's phone number and the message Bird is a Dutch company.
Stripe (billing) Your GroomSome subscription billing details Stripe stores and processes data globally, including the United States.
Google Cloud Vision (optional paper-card import) The photo of a paper client card you choose to import Google's global service, without a guaranteed region. The photo is deleted from GroomSome's storage when the import completes.
Google Firebase Cloud Messaging and Apple push notifications Notifications to your own phone. A new-appointment notification includes the client's name and the appointment title. Global services.
GitHub (feedback) Feedback you send from inside the app, with your email address United States.

Calendar sync with Google Calendar or Outlook is optional. When you switch it on, GroomSome writes your appointments into your own calendar account, where your calendar provider's terms apply.

What this means for you

  • You stay the data controller for your clients' data; GroomSome processes it on your behalf. The Data Processing Agreement, linked in the footer, sets that out.
  • You can take your records with you. Once your subscription is active, an admin can export clients, pets, appointments, invoices and products to Excel or CSV from Settings. Timeline notes and photos are not part of the export.
  • Cancelling does not delete anything by itself. After you cancel, your data stays readable and you can still export it. We delete it only when you ask.

We do not describe GroomSome as keeping all data inside the EU, because the providers above mean that would not be true. What is true: the data you work with every day, and its backups, live in the Netherlands.
